Terms and Conditions
General Terms for all Memberships (gym and sports clubs) and Services
- Memberships are non-refundable but can be cancelled or frozen due to pregnancy, injury or ill-health. In these cases, an official note from a medically qualified practitioner will be required as proof of eligibility
- Memberships can be frozen for LSBU staff/students if serving with the armed services/studying an LSBU qualification and on placement, providing an email from your line manager or course director is produced. This email must include the start and finishing dates of service/placement. Any other freeze requests must be provided in writing to be considered at the discretion of LSBU Active. Access to the facilities will be denied whilst your membership is frozen
- Direct Debit Memberships: are subject to a prorate fee on joining. Membership fees will be collected on the first working day of each month and can be cancelled by giving 1 full calendar months’ notice in writing, effective from the 1st of the following month. It is your responsibility to cancel the direct debit with your bank after final payment
- Community customers will be provided with a membership card. Lost cards will result in a charge of £3 to replace
- All customers must read and agree to the Health Declaration before using the centre
- Only authorised users may enter the gym areas Spectators for events in the Sports Hall must enter through the LSBU Hub main entrance to access the viewing gallery. Spectators must be confirmed by LSBU Active in advance
- Users must vacate all facility areas upon centre closing. Current opening hours will be displayed around the centre
- All customers are required to wear appropriate gym/sports clothing and footwear. Trousers/shorts with belt loops/belts are not permitted. Only indoor footwear is permitted in the Sports Hall and Studios; trainers must be worn in all gym areas
- All bookings are non-refundable but can be rescheduled if more than 24 hours’ notice of reserved session time is given
- By agreeing to these terms and conditions, you agree to observe and be bound by them
- The management reserve the right to deny access to the centre, including (but not limited to) when for reasons beyond our control, such as a failure in a utility service (e.g., electricity), to address a security threat, due to a force majeure, or any pandemic, epidemic or other health and safety emergency. When possible, advanced notice will be given
- Offensive, aggressive, abusive behaviour towards staff and/or customers may result in termination of the current membership period. In such circumstances, any future remaining months of membership will be refunded (not including the current month). Future membership will only be considered after review by senior management
- LSBU Active is not liable for any loss, damage or theft of any property of users and their guests
- Data Protection Statement: LSBU is committed to protecting people’s rights and privacy in line with the Data Protection Act 2018 (DPA), the General Data Protection Regulation (GDPR) and other relevant legislation and regulations (collectively Data Protection Law). The University is registered as a Data Controller with the Information Commissioner’s Office. Data, including sensitive personal data (‘Personal Data’), provided on this form may be processed by LSBU for the following purposes: processing of your application, administration of activities, record-keeping and compilation of statistics. Information produced for statistical purposes will be anonymised and will not identify you an individual. LSBU will not share data collected on this form with any third parties unless it has: your express consent; or is otherwise permitted to do so under the DPA. Group Exercise Classes
- Classes must be booked onto in advance, via the LSBU Active app or by email/over the phone/in person at the centre
- Instructors reserve the right to deny entry to customers not booked onto the class
- Entry to classes will be denied if the class is already at full capacity
- If you are late for a class you are booked onto, your space may be given away to someone on the waiting list
- It is your responsibility to inform the class instructor of any medical conditions at the beginning of each class
Facility Hire
- Block or advanced hire of facility spaces is available with specific hire terms and conditions. Please ask staff for details
- Casual Sports Hall bookings can be made online, up to 7 days in advance. These are non-refundable but can be rescheduled if more than 24 hours notice of reserved session time is given
- Sports equipment can be hired for use with sports hall bookings at a charge. Failure to return the equipment immediately after the session will result in a fine. Access to the centre will be denied until this fine is paid
Sports Club Memberships
- All students must hold a current sports club membership from Monday 9th October 2023 to attend training, matches and competitions for that specific club. The first training session will always be free for a new student
- Term 1 Membership is valid until 31st December 2023. Annual membership is valid until 31st March 2024. Membership benefits are only valid for the duration of the membership and not beyond
- Purchase of a club membership does not confirm automatic selection into team/squad for any matches, competitions or events
- By purchasing a club membership, you are agreeing to follow University EPIIC values and behave in an appropriate manner during all training sessions and matches to fellow students, staff and spectators
- Inappropriate behaviour may result in penalties/ disciplinaries
Activities for children
- Bookings: All activities are booked on a first come first serve basis and are not confirmed until full payment has been made. This includes bookings which are to be paid through childcare vouchers
- 10% Discount Policy: Current LSBU staff/students are entitled to 10% off their child’s booking when registering. Proof of LSBU staff/student status, in the form of your LSBU ID card will be required to prove eligibility. Two or more siblings registered and booked together will be eligible for a 10% sibling discount. LSBU Active’s 10% discount cannot be used in conjunction with other discounts. E.g., You cannot apply for “Child of LSBU Student Discount” and “Sibling Discount”
- Cancellations or no shows: All payments made are non-refundable unless due to injury or ill-health. In these cases, an official note from a medically qualified practitioner will be required
- Medical and special educational needs: You are obliged to notify LSBU Active of any pre-existing medical conditions or special educational needs your child may be experiencing, accompanied with all necessary medication. If full information about medical or physical conditions, or behavioural matters are not provided at the time of registration it may result in your child being excluded from activities with no refunds provided. You will be required to complete a Medication Authorisation form for any medication left on site during your child’s visit
- Behaviour: Abusive or aggressive behaviour by your child towards staff or fellow children will result in immediate expulsion (non-refundable) and exclusion from future activities. In the event of this happening, the named emergency contact will be informed and expected to collect the child immediately
- Prior to participating in any children’s activity, you will be required to read and sign our Behavioural Code of Conduct which can be found online (also available at reception)
- Clothing: As these are sports-based sessions, any child not in correct clothing (i.e., not in tracksuit bottoms, trainers/plimsolls etc) will not be allowed to take part. Jeans and non-sport shoes are not permitted
- Personal items: LSBU Active will not accept any liability for the loss or damage of any personal items
- Content, timing and delivery: It may be necessary, for reasons beyond our control, to change the content, timing and delivery of activities (Sports Camp/Rising Stars). When possible, advanced notice will be given
- Safeguarding and child protection: LSBU Active staff have a duty to respond if they suspect a child in their care may be suffering from abuse, or if a child makes a disclosure about abuse. In this event, staff will ensure one of the Designated Safeguarding Leads (DSL) has been informed
- Lunch: All children attending must bring a cold packed lunch with them. Please avoid bringing food containing nuts
- Spare clothes: It is advisable to pack a change of clothes in your child’s bag if you think your child may require it
- Lateness: Please don’t be late to pick up your child (we will allow a 15-minute period for potential lateness however this must be communicated with us beforehand). If there is no communication after a long period of time LSBU Active will make an informed decision and Southwark Social Services will be contacted. Every effort will be made to contact the parent/guardian or emergency contact prior to contacting social services. Please also be advised that LSBU Active staff do not have any influence over fines and the contacting of social services.

OUR COMMITMENT TO YOU
We will respect your personal decisions, and allow you to make your own decisions about what exercise you can carry out. However, we ask you not to exercise beyond what you consider to be your own abilities. We will make every reasonable effort to make sure that our equipment and facilities are in a safe condition for you to use and enjoy. We will take all reasonable steps to make sure that our staff are qualified to the fitness industry standards as set out by the register of exercise professionals. If you tell us that you have a disability which puts you at a substantial disadvantage in accessing our equipment and facilities, we will consider what adjustments, if any, are reasonable for us to make.
YOUR COMMITMENT TO US
You should not exercise beyond your own abilities. If you know or are concerned that you have a medical condition which might interfere with you exercising safely, before you use our equipment and facilities you should get advice from a relevant medical professional and follow that advice. You should make yourself aware of any rules and instructions, including warning notices. Exercise carries its own risks. You should not carry out any activities which you have been told are not suitable for you. You should let us know immediately if you feel ill when using our equipment or facilities. Our staff members are not qualified doctors, but there will be a person available who has had first-aid training. If you have a disability, you must follow any reasonable instructions to allow you to exercise safely.
